Managing global mobility requires balancing compliance, operational efficiency, and employee experience. As interim People Operations Lead at Vinted, Vaida Baltušninkė has firsthand insight into these challenges. In this interview, she discusses the role of external vendors, the impact of policy structures, and the key risks companies must navigate when managing a globally mobile workforce.

The challenge

With 170+ mobility cases across Germany, Lithuania, and the Netherlands, Vinted needed external support to manage mobility without internal global mobility specialists. Their key goals were:

How does global mobility fit into your team's responsibilities?

Since our team manages everything from onboarding to offboarding, we're responsible for supporting employees through relocations, work permit renewals, and moves between different Vinted locations. We help employees with questions, assist with permits if needed, and coordinate with third-party providers like Localyze. We don't have internal global mobility experts, so external partners play a key role in making sure everything runs smoothly. 

 

What were some of the challenges you faced with global mobility before working with Localyze?

Before Localyze, we worked with a different provider and we kept running into quality issues. At the end of the day, our priority is to provide employees with a smooth, high-quality experience, and that wasn't happening.

 

What do you find most valuable about the services you receive from Localyze?

The whole case management process is easy - for both us as HR and for our employees. Our point of contacts at Localyze have been incredibly helpful as we got started. We really value having that direct line of support. Localyze handles relocations end-to-end, which takes a huge burden off our team. Of course, we're still involved at various points, like signing documents and providing information, but the bulk of the responsibility is on Localyze's side, which is exactly the support we need.

Are there particular aspects of the Localyze platform that the team use the most?

From my experience, the most-used features are the messaging tab, the updates section, and the case management steps. We check updates regularly to see how cases are progressing.  

 

How do you measure success when it comes to global mobility? Are there any KPIs you track?

We don't have formal KPIs set up, but we do have clear indicators of success. A big one is response time - how quickly we get answers from Localyze. Another important signal is whether employees come to us with questions about their cases. If that happens, it's usually a red flag that they're not getting enough information. We also track whether relocations and renewals happen on time, like if an employee's work permit isn't renewed in advance.
